Understanding Documentum

Documentum by OpenText

Instead of discussing history of Documentum like who developed who bought it etc(which can be easily found on Wikipedia), lets come straight to the details.

Documentum(read more on wikipedia) is a content Management tool. In basic terms, if there is a need to organize content on a large level its hard to manage the data and for that Organizations use some tool to manage it. For Example Facebook, they have loads of media uploaded daily and its growing exponentially, Youtube, which you can imagine how much data they have. When the content is at this vast level, it needs to be managed, what should be public, what should be only visible to some particular group etc. There needs to be security on each content file/flow/business process etc.

There are multiple tools available for content management(wikipedia).  In this Blog we are currently focusing on Documentum.

Like in windows, you have the option to restrict which user can access a folder what kind of permissions they can have. However when it comes to automated things windows internally can not provide that. For Example if you want that whenever an image is uploaded to a particular folder its name should be update automatically as user or it should show a form where users can put additional information to search that document later. These are some basic examples, however Documentum does much more than that. But as its a paid product it comes with hefty license fee to Vendor.

Features:

Security :
By Security we simply mean here the process of restricting access at file levels(more details in upcoming posts).

Accessibility :
Can be accessed easily from any location(online).

Retention and Disposition:
Simply allows to retain the files till a certain time(as per the configuration)

Auditing:
Tracing on changes can be easily done.

Transformation Services:
Allows file format conversion.

any many more in detail will be coming up in next posts.......

However if you are looking for some website or Trial version, please drop the idea.
As mentioned earlier, Documentum is an enterprise commercial tool, you must have the license to use(which is costly) and of no use if you want to have it just for hands on.
